1.Principles of Writing Business Letters
Generally speaking, the principles are as follows: appropriate layout, logically connected ideas, correct grammar, spelling and punctuation marks, suitable style and tone, and tactfully organized information.(合理布局、邏輯思維、正確語法拼寫標(biāo)點符號、適宜格式和語氣、準(zhǔn)確信息)
Specifically speaking, the essential qualities can be summed up in 7 C’s: clear, concise, courteous, considerate, complete, concrete and correct.(清晰、簡潔、禮貌、周到、完整、具體和正確原則)
2.Formats and Elements of Business Letters
2.1 Formats
Nowadays, two basic formats or styles of business letters are often used: block style and modified block style.(改良齊頭式)
Block style means that every line of the letter begins at the left margin.
Modified block style means that such letters use the basic block format. However, the following parts begin at the horizontal center of the page: the letterhead, the date, the complimentary close, the signature, the typed name and the official title. In this way, the letter will have a more balanced look.

4.Fax
Fax, the abbreviation of facsimile, is one of the widely used means of communication in the modern business circle, because it quickly, sometimes automatically, transmits and receives written messages as well as maps, patterns, diagrams and photographs.
It takes only a few seconds to transmit a message. What is sent at one end is received simultaneously at the other end. It uses the telephone line for sending and receiving messages, and the telephone number is also the fax number.
As a means of communication, fax is taking the place of telephone and telex in many business contacts today and will keep its popularity in the years to come.
Principles of Writing Faxes
(1)The common practices of writing business letters also apply to fax writing, but the salutation and complimentary close are normally omitted. In this case, the subject line is often necessary.
(2)Each page of a fax should be clearly numbered to make sure that the recipient receives the full message.
(3)A full signature is necessary if the faxes are sent through a fax machine. Initials are not acceptable.
(4)Concise fax messages are desirable taking the cost into account.
(5)Plain language should be used, simplified words and combinations are not acceptable.
(6)The address of the company of the recipient are not always written out in full. This means you may only type the name of the company without writing the address of the company in faxes.
